BCD Travel, Advito and the fee models on offer
BCD Travel is part of BCD Group, a privately held company headquartered in the Netherlands. Advito is BCD Travel’s consulting business, offering sourcing, data and program optimization services. BCD serves clients in many countries through a mix of its own offices and partner agencies, so a global contract can combine several local fee schedules under one master agreement.
BCD, like most enterprise TMCs, can price a program per transaction, as a fixed management fee, or as a hybrid. The choice changes who carries volume risk. Under transaction pricing you pay for what you use. Under a management fee the TMC prices a budget for expected volume, and the contract’s bands, floors and overage rates decide what happens when reality differs. Compare the structure with peers in our Amex GBT vs. BCD Travel and FCM vs. BCD Travel comparisons.
Management fee vs. transaction fee: the conversion math
Illustrative program, not a client: 4,200 online bookings at $9, 1,500 agent bookings at $35 and 300 exchanges at $30, for 6,000 transactions a year. Priced per transaction, that costs $99,300. Assume the alternative is a $105,000 annual management fee covering 5,400 to 6,600 transactions, with overage at the implied $17.50 per transaction and no refund below the floor. The table runs both models through six years your program could have.
| Scenario | Transactions | Transaction-fee model | Management-fee model | Management minus transaction |
|---|---|---|---|---|
| Baseline year | 6,000 | $99,300 | $105,000 | +$5,700 |
| Online adoption rises (5,000 online, 700 agent) | 6,000 | $78,500 | $105,000 | +$26,500 |
| Volume falls 15% | 5,100 | $84,405 | $105,000 | +$20,595 |
| Volume grows 20% | 7,200 | $119,160 | $115,500 | −$3,660 |
| Disruption year, exchanges double | 6,300 | $108,300 | $105,000 | −$3,300 |
| Adoption rises and fee resets to $85,000 | 6,000 | $78,500 | $85,000 | +$6,500 |
The pattern is the point. A management fee protects you in a high-volume or high-disruption year and costs you when volume falls or adoption improves. Two clauses decide the outcome: a symmetric band that credits you below the floor, and an adoption reset that re-prices the fee when online share rises. Without them, the program funds its own savings twice. Run your own figures against our TMC fee benchmarks.
BCD Travel fee lines to audit
| Fee line | Typical contracted range we see | What to verify in your contract | Red flag on the invoice |
|---|---|---|---|
| Management fee | Convert to $ per transaction | The volume, mix and adoption assumptions it was priced on | No written assumptions behind the figure |
| Volume band and overage | ±10%–15% band | Whether the band is symmetric and how overage is priced | Overage billed, but no credit below the floor |
| Online transaction (hybrid or per-transaction) | $5–$12 | Per trip or per component | Hotel-only bookings billed as full trips |
| Agent-assisted | $25–$50 domestic; $40–$65 international | Country-specific definitions of complex trips | Different complex thresholds by country |
| Exchange, refund, void | $20–$45 | Whether exchanges count toward management-fee volume | Exchanges billed outside the fee and counted inside the band |
| Country fee schedules | Local currency, local terms | That partner-country schedules are annexed to the master agreement | Charges from a country with no annexed schedule |
| GDS incentives | Offset, shared or retained | Treatment per country and how it is reported | Incentive treatment stated for one country only |
| Consulting services | Separate statement of work | Scope, fees and whether they are bundled into the management fee | Consulting days drawn down without a work order |
Why Advito should be firewalled from a TMC fee audit
This is a structural point, not a judgment of Advito’s work. Advito is owned by BCD Travel, and an audit of BCD’s fees, or an RFP that decides whether BCD keeps the account, is a review of its parent’s revenue. Procurement practice in every other category separates the auditor from the audited, and corporate travel should be no different.
- Keep Advito engagements, for example air or hotel sourcing, on a separate statement of work with its own fees.
- Commission the TMC fee audit and any TMC RFP from a party with no ownership link to a bidder, following our TMC RFP guide.
- Decide who sees raw invoice data and audit findings before work starts.
- Avoid success fees tied to retaining or renewing the TMC.
Multi-country GDS incentives
GDS operators pay agencies segment incentives under agreements that can differ by country. In a multi-country program, the master agreement may treat them one way while partner-country contracts treat them another. Ask for a country-by-country statement: which entity earns the incentive, whether it offsets your fees, and how the figure is reported. As NDC volume grows, as described in our NDC surcharge guide, GDS segments fall, so confirm that falling incentives cannot trigger a fee increase mid-term.
Contract clauses to demand from BCD Travel
Clause 3.2 · Symmetric volume band
The Management Fee assumes [6,000] transactions per contract year. If actual transactions fall below [90]% of that figure, Supplier shall credit Client at the Implied Unit Rate for each transaction below the floor; above [110]%, Client shall pay the Implied Unit Rate for each transaction above the ceiling. Supplier shall deliver a reconciliation within 45 days of each contract year end.
Clause 3.5 · Adoption reset
If online adoption rises by [8] or more percentage points against the assumption in Schedule B over any two consecutive quarters, the parties shall re-price the Management Fee using the per-transaction rates in Schedule B, effective the following quarter.
Clause 9.1 · Incentive disclosure
Supplier shall report annually, by country, all GDS incentives and supplier remuneration earned on Client’s bookings, and their treatment under this Agreement.
